Office Manager

unité Mental Health & Wellness is seeking an organized, professional, and dependable Office Manager for our Houghton office. This position is responsible for supporting day-to-day office operations, creating a welcoming environment for clients, and helping ensure smooth administrative flow for staff and therapists.

This role is ideal for someone who is detail-oriented, able to manage multiple responsibilities, and comfortable working in a fast-paced healthcare or mental health setting.

Responsibilities

  • Oversee daily front office operations

  • Greet clients and visitors in a warm and professional manner

  • Answer phones, respond to inquiries, and direct calls appropriately

  • Schedule appointments and assist with cancellations and calendar coordination

  • Maintain accurate client information and office records

  • Assist with intake paperwork and administrative documentation

  • Support workflows related to billing, insurance, and patient account questions

  • Maintain office supplies, organization, and front desk procedures

  • Coordinate communication between staff, therapists, and leadership

  • Assist with filing, scanning, recordkeeping, and other clerical tasks

  • Help resolve routine office and client concerns

  • Maintain confidentiality and professionalism in accordance with HIPAA and office policies

 

Skills and Qualifications:

  • Strong organizational skills and attention to detail

  • Excellent communication and customer service skills

  • Ability to multitask and prioritize effectively

  • Strong problem-solving skills and sound judgment

  • Ability to work independently and as part of a team

  • Proficiency with computers, email, scheduling systems, and office software

  • Professional, dependable, and respectful in working with clients and staff

 

Education and Experience:

  • Relevant office or administrative experience required

  • Bachelor’s degree or higher preferred

  • Experience in a healthcare, mental health, or medical office setting preferred

  • Experience with scheduling, insurance verification, or electronic health records preferred
